Getting files back out of the portal, who is allowed to, and what is recorded when they do.

Downloading a document
Use the download action on the document’s row in Documents, or the Download button while a document is open in the editor. The file arrives as you uploaded it, except for a PDF you have edited and saved — that one arrives with your changes on the page.
Who can download
Downloading needs download access:
- A CPA or admin can download the firm’s documents.
- A client can download a document shared with them at the Download level, or one in a folder shared with them at a level that allows it.
Somebody with view access only can read a document in the browser and cannot save a copy. That distinction is worth using deliberately: view keeps the document in one place, download does not.
Downloading from the editor
Download in the editor gives you the current state of the page, including anything you have just placed but not yet saved. It does not change what the portal holds — use Save for that.
What is recorded
Downloads are recorded in the document’s activity history alongside uploads and views, with who and when. It is the record to reach for when the question is whether a client ever actually collected something. See Activity history.
What there is not
There is no bulk export of the whole portal as one archive, and no scheduled export. Documents come out one at a time, by hand, by somebody with access — which is a limitation worth knowing about before you plan a migration around it. If you need your firm’s data out in bulk, ask support rather than downloading a season one file at a time.
