Activity history

The record of who uploaded, viewed, downloaded or changed a document, and what it is good for.

Every document keeps a history of what has been done to it: uploads, views, downloads, edits and status changes, each with a person and a time against it.

Where to look

Open a document and its activity is with it. The dashboard also shows the firm’s recent activity across everything, which is the wider version of the same record.

The questions it answers

  • “Did they ever collect it?” A download entry, or the absence of one, settles it without anybody having to remember.
  • “Who changed this?” Edits are recorded with the person who made them.
  • “When did this actually arrive?” The upload entry, rather than the date on the document.

What it is not

It is a working record, not a legal audit trail, and it should not be relied on as evidence of anything. It also does not record what changed inside a document — that an edit happened, not which text box moved.

Who can see it

Activity on a document is visible to the people who can already reach that document: your firm’s CPAs and admins, and a client for their own documents. A client cannot see the firm’s wider activity feed.

Using it before chasing somebody

Check the history before you write the chasing message. “I can see you opened it on Tuesday” and “did you get it?” are different conversations, and the first one is shorter.
